Introducing Path 

What is Path?

Path helps you manage HR online and in one place. You can:

  • upload your employee information
  • see who's in and out
  • get insights for staying compliant
  • merge - Outlook, Apple and Google calendars

What does Path offer?

Path features include:

  • holiday calendars
  • an Artificial Intelligence (AI) chatbot called Path Assistant
  • making entitlements (eg payroll) calculations using Path Assistant
  • notifications about legislation changes and tasks needing to be completed

Managing your employees

How do I add my employees?

There are 2 ways you can do this. Select 'people' from the left-hand navigation and then:

  • add employees individually using the add people (top right-hand corner menu)
    º enter their details
    º select the 'submit' button on the bottom right-hand corner
  • upload multiple employees using the 'import CSV' (top right-hand corner menu)
    º drag your CSV file to the 'Drop files here or browse' area of the screen, or you can click on the word 'browse'
    º select 'import 1 file' button
    º finish the import CSV process by selecting the 'submit' button on the bottom right-hand corner

How do I invite and re-invite my employees?

Once you’ve 'added employees' (see above for 'How do I add my employees?') to Path, using the left-hand navigation, select 'people' and then:

  • select 'invite' from the top right-hand navigation
    º you'll be able to see the employees you want to invite or the employees who have not yet accepted your previous invite
  • select the employees you’d like to invite or re-invite individually (from the left-hand area)
  • now select 'send invite' button (bottom right-hand corner)

Alternatively, if you want to invite all employees, select 'people' (from the left-hand navigation) and then:

  • select 'invite' from the top right-hand navigation
  • use the 'select all' (top left-hand corner area - below the title 'invite people')
  • now select the 'send invite' button (bottom right-hand corner)

The system does the rest. When you invite your employees, Path automatically sends them an invitation. They will be able to sign in using their Path email.

Where do I enter an employee’s emergency contact details after the employee has been added on Path?

You need to select:

  1. 'People' from the left-hand navigation.
  2. The employee you’d like to add the emergency contact details for.
  3. 'Emergency contact name' this can be found at the bottom of the page under the heading 'other information'.

How do I save documents to employees profiles?

You need to select:

  1. 'People' from the left-hand navigation.
  2. The employee you’d like to add documents to.
  3. 'Documents' tab - found above the employee picture, or their initials if there is no picture.
  4. 'Upload file' - found directly below the 'documents' tab and select the document you want to upload.
    a. Path supports file types; .jpeg, .png, .pdf, .doc, .docx, .csv, .ppt, .pptx, .xls, .xlsx.

How do I create teams?

You need to select:

  1. 'People' from the left-hand navigation.
  2. Then ‘teams’ under 'people.
  3. 'Add your first team' button in the middle of the screen.

Now you can replace the words 'Team name' with your team's name and if required, you can add your 'team mission', on the left-hand side. Now select:

  1. 'Add team leaders' to assign a team leader to act as team admin.
  2. 'Add team members' will assign team members to your team admin.
  3. 'Save changes' to confirm and save the above or 'cancel' to restart the process.

You can create as many teams as required.

How do I delete an employee?

You need to select:

  1. 'People' from the left-hand navigation.
  2. The employee you’d like to delete.
  3. 'Delete' from the top right-hand corner.

Managing employees permissions

How do I change permissions?

The 'permissions' feature allows you to decide who can access specific information and features on Path. It can be found under 'settings' from the left-hand navigation.

When a user’s permissions are set to 'admin', they are able to do the same as a 'standard' user, plus they can -

Manage employees:

  • view all employees
  • change employee details
  • add employees

Organise time off:

  • view time off
  • book employee time off
  • approve time off
  • set up holiday policy
  • set up holiday allowances

Manage documents:

  • upload and edit documents
  • view templates

Manage company:

  • view company overview
  • set user permissions

As an admin user has more control over the Path permissions, we suggest admin users have an HR function in your company, or they are at director/owner level.

Admin users can also:

  • book their own time off just like employees
  • manage their profile as an admin

Managing your company policies

What is our company holiday policy?

Your holiday policy (found in 'company' located below 'settings' in the left-hand navigation) is the number of holidays (or 'company holiday allowance') your company allocates to employees annually.

Your 'company calendar year' is your company's holiday year (eg from 01 January to 31 December). This is the date range that your employees must take their holiday within.

How do I set my company holiday allowance?

You need to select:

  1. 'Settings' in the left-hand navigation.
  2. 'Company' found underneath settings.

Find the 'company holiday allowance' field, which is to the left of 'days' where you can enter your allocated holidays.

How do I set my company holiday year?

You need to select:

  1. 'Settings' in the left-hand navigation.
  2. 'Company' found underneath 'settings'.

Find the 'company calendar year' fields, and enter your start and end dates that apply to your company.

Do you have an Employee Handbook?

Yes, our Employee Handbook covers everything from business policies and codes of conduct to equal opportunities and data protection.
You need to select:

  1. 'Tools' and 'Resource hub' from the left-hand navigation.
  2. Download the Employee Handbook template.
  3. Adapt to meet your own business's needs.
  4. Use in future employee onboarding.

Managing your account settings

How do I switch my notifications on or off?

Select 'settings' from the left-hand navigation and in the middle of the screen (in the box titled 'notification preferences') you’ll be able to switch notifications off/on for email and text.

How do I switch off notifications for 'marketing preferences'?

Select settings from the left-hand navigation and then find 'marketing preferences' in the middle of the page, where you’ll be able to switch email notifications off.

How do I change my email?

You can do this by:

  • going to the top right-hand menu and selecting your image or initials (if no image has been uploaded) and then selecting 'my profile ’ in the dropdown menu
  • in the ‘contact’ box, select your email (found on the right-hand side of the box) and make the change
  • select the ‘save’ button below the box

Your new email will now be used to log into Path. You don’t have to think of a new password - you can use your existing one.

How do I delete my account?

Just get in touch with us at support@path.co.uk and we’ll delete your account within one business day.

Can I cancel holiday once I've booked it?

You need to select:

  1. 'Time off' from the left-hand navigation and 'calendar' should be highlighted by default.
  2. The dates you want to cancel.
  3. The delete dustbin icon (at the bottom right of the page).
  4. The 'yes' button (at the bottom right of the page).

How do I change someone's holiday entitlement if they are working part-time?

You need to select:

  1. 'Time off' from the left-hand navigation.
  2. 'Allowances' found underneath 'time off'.

Now you can change the employee’s allowance by selecting the 'adjust allowance' box and using the '-' (or '+'if needed) buttons.

When you have adjusted the allowance, you will need to write in the 'adjust allowance' popup box and then select 'add' when finished.

Please note: if you do not write in the 'adjust allowance' box, you will not be able to save the adjustment.

How do I delete a holiday booked for an employee in error?

You need to select:

  1. 'Time off' from the left-hand navigation and 'calendar' should be highlighted by default.
  2. The employees holiday from the calendar that you want to delete.
  3. The delete dustbin icon (at the bottom right of the page).
  4. The 'Yes' button (at the bottom right of the page).

How do I amend a holiday from the calendar?

At the moment this is not possible. 

You will have to delete the holiday (see above for more information) and re-enter it with the correct dates. See below on how to book holidays etc.

How do I book holidays/sickness/other (eg compassionate, parental, unpaid leave) as an employer/admin user for myself, or for another employee?

You need to select:

  1. 'Time off' from the left-hand navigation and 'calendar' should be highlighted by default.
  2. 'Book' from the top right-hand menu.
  3. The time off option you want (eg it defaults to 'holiday' but you can change it to 'sickness'/'other' by selecting them) from the right-hand menu.
  4. 'Employees name' found underneath 'who’s it for?' in the top right-hand menu.
  5. The name of the employee who is going to have time off.
  6. 'Half day' or 'one day' or 'more than one day' button.
  7. The appropriate time off days from the dropdown calendar.
  8. 'Select' found at the bottom of the right-hand menu.
  9. 'Book' found at the bottom of the right-hand menu.

Can the system work out holidays for zero-hour contracts?

Not at the moment.

Managing your employee account

How do I get a Path account?

You'll receive an email from your employer/admin user inviting you to join. Select 'sign up' and use the allocated email for the Path sign up process and create a password.

How do I book holidays/sickness/other (eg compassionate, parental, unpaid leave) as an employee?

You need to select:

  1. 'Time off' from the left-hand navigation and 'calendar' should be highlighted by default.
  2. 'Book' from the top right-hand menu.
  3. The time off option you want (eg 'holiday'/'sickness'/'other') from the right-hand menu buttons.
  4. 'Half day' or 'one day' or 'more than one day' button.
  5. The appropriate time off days from the dropdown calendar.
  6. 'Select' - found at the bottom of the right-hand menu.
  7. 'Book' - found at the bottom of the right-hand menu.

How do I find out how much holiday I have taken?

You can do this by:

  •  going to the top right-hand menu and selecting your image or initials (if no image has been uploaded) and then selecting 'my profile' from the dropdown menu
  • find the 'employment information' box and look for 'holiday taken' on the right-hand side of the box
  • the number below 'holiday taken' is how many holidays you’ve taken

How do I change my email?

You can do this by:

  • going to the top right-hand menu and selecting your image or initials (if no image has been uploaded) and then selecting 'my profile ' in the dropdown menu
  • in the ‘contact’ box, select your email (found on the right-hand side of the box) and make the change
  • select the 'save' button below the box

How do I add my contact details?

Once your administrator's invited you to use Path, you can add your contact details by:

  • going to the top right-hand menu and selecting your name and then selecting 'my profile ' in the dropdown menu
  • in the 'General Information' box, select the contact details you want to add and add them
  • select the 'save' button below the box 

How do I edit my profile?

Once your administrator has invited you to join Path, you can edit your profile details by:

  • going to the top right-hand menu and selecting your name and then selecting 'my profile' in the dropdown menu
  • select what you want to edit and make the changes
  • select the 'save' button below the box

How do I input my emergency contact details?

Once your administrator's invited you to use Path, you can add your emergency contact details by:

  • going to the top right-hand menu and selecting your name and then selecting 'my profile' in the dropdown menu
  • in the 'Other Information' box (this is the last box in the profile) select the emergency contact details you want to add and add them
  • select the 'save' button below the box

Can I cancel my holiday I’ve booked? 

You need to select:

  1. 'Time off' from the left-hand navigation and 'calendar' should be highlighted by default.
  2. Your holiday from the calendar that you want to delete.
  3. The delete dustbin icon (at the bottom right of the page).
  4. The 'Yes' button (at the bottom right of the page).
